Adding New Invoices

Adding invoices can only be accomplished from the Customer Details screen since invoices are added as a part of the customer's file.

Adding new invoices is a simple and straight forward process by entering the details on the create invoice screen.

New Invoice Fields

The new invoice screen contains all of the elements that you will need to create a brand new invoice. The following fields are available to create a customized invoice for your customer:

  • Invoice Summary - this is a quick summary of the invoice. This is an optional field, but will allow you to easily identify the purpose of the invoice without scrolling through each line of the invoice. For instance, if the invoice is related to a specific project, you may want to enter the project number as the summary, so that you can quickly explain to the customer that all of the invoice lines are related to that project.

  • Status - this dropdown will allow you to select from available statuses, such as Draft, Quote, and Invoice. The status will change dynamically when you select the status.

  • Due Date - there are several options to select the due date. The system can automatically set the due date based on your set due terms, such as: 7 days, 15 days, 30 days, 45 days, 60 days. If any of the days are selected, the system will automatically configure the due date by adding the number of days to the current date. Additionally, you can select a custom due date or Due Upon Receipt options. The custom date will open up a date dropdown that will allow you to select the due date from a calendar.

  • Apply discount - this is a yes/no option that will allow you to specify a discount. If a discount is added, some new fields appear that will allow you to enter a discount description and select between a flat discount or a percentage discount. The system will automatically subtract your selected discount amount from the total.

Invoice Lines Fields

The powerful functionality of the Clientl invoice system lies in the Invoice Lines section. You can add an infinite number of lines to the invoice. While you can add an infinite number of invoice lines, I'm pretty sure that no one will want to pay an infinite amount of money for all of those lines. 🤣

The invoice lines contain the following fields:

  • Description - this is a description of the particular line. While there is no character limit for the description, the system will automatically truncate the description based on the invoice template selected.

  • Price - this input is designed for you to enter the price of the particular item, service, product, etc. Go ahead put in lots of money for the price, we won't judge. 🤣

  • Quantity - this is the amount of the product, hours, or whatever other quantity goes along with this particular line. You must enter at least 1 in this line, or, obviously, the price that you entered will not calculate into the line. The system dynamically calculates the total based on your price x quantity entered.

  • Tax Rate - this is the rate at which the product, service, etc is taxed based upon your state and local tax laws. You can enter anything from 0 - 100% in this field (yikes - who would want to pay 100% tax rate 😲)

  • Total - you do not need to enter anything for total. The total is automatically calculated for you based upon your price, quantity, and tax rate.

In addition to the above options, you can also select the down arrow, if it is present. This means that the customer also has an open project that you may want to use for billing purposes. We have made it easy for you to invoice for an open project. All you will need to do is to enter the project number in the input field and Clientl will automatically pull the description from the project into the description line, so that you do not have to retype it.

Pro Tip: Can't remember the exact project number? No problem, all projects will always start with the customers initials, so simply enter the customers initials and the system will search for all open invoices and allow you to select the correct project without typing in the enter project number. If you select the wrong project, simply click the reset button and try another - it is that easy.
